Terms and Conditions for Studio Bookings
1. Appointment Changes
If you need to make changes to your scheduled appointment (such as modifying the date, time, or experience package), you must contact us at least 48 hours before your appointment. Changes made at least 48 hours in advance will not incur any fees.
2. Rescheduling
You may reschedule your portrait session up to 48 hours before the original appointment time without penalty. Rescheduling requests made less than 48 hours before your appointment are subject to a rescheduling fee of $25.
Rescheduling is subject to availability.
If you reschedule and your new appointment is after any applicable yearbook deadlines, we will submit your image, but cannot guarantee it will appear in the yearbook. In this instance, please contact your school’s Yearbook Advisor.
3. Cancellations
If you wish to cancel your appointment, you must notify us at least 48 hours in advance for a full refund. Cancellations made less than 48 hours before the scheduled session will result in a cancellation fee of $25 deducted from the original amount paid.
No refund will be issued if you cancel within 24 hours of the appointment or fail to attend your session.
4. No-Show Policy
If you do not attend your scheduled appointment and fail to notify us within the parameters listed above, your session will not qualify for refunds or credits.
5. Downgrading your session
Downgrading your session within the time period 48 hours or more before your appointment, will qualify for a refund. Sessions downgraded within 48 hours of the appointment will be issued a credit for the product. Please see our credit policy below.
6. Voucher and Discount Code Policy
If we issue a voucher due to rescheduling, cancellation, or other circumstances, please note the following:
Vouchers are issued as a single-use voucher valid for use in our product ordering system.
Our system allows only one discount code or voucher per order. If you are issued a voucher, it cannot be combined with any other discount or promotional code.
The voucher is valid for 30 days from the date of issue and can be applied toward prints, digital downloads, and other products.
Unused vouchers will expire after 30 days and will not be reissued or refunded.
7. Yearbook Deadline Responsibility
It is the client’s responsibility to ensure that their session is booked and completed in time for yearbook submission. If a session is rescheduled beyond the yearbook deadline, Bill Smith Photography is not responsible for your image not appearing in your yearbook.
